VIDEO DELIVERY · BY QREATA

How to share a screen recording in Notion without losing the instructions.

A video in a chat disappears under the next conversation. A video beside the task in Notion can remain useful, provided the recipient can open it, knows what it teaches and can tell which version to follow.

The short answer

Export a reviewed MP4, open the destination Notion page and add it with a video block or drag the file into the page. If upload size or hosting makes a file unsuitable, add a hosted link and test access. Keep the task, written steps and version beside it; a Qreata export is not a native Notion integration.

The recording workflow

  1. Finish one task before sharing

For example, record how a support teammate changes a ticket owner. Show the starting role, one ticket made with sample data and the final assigned owner. Trim setup time and check the saved MP4 before opening Notion.

  2. Choose the Notion destination

Use the page that owns the procedure, such as Support → Ticket assignment. Start with a heading that names the task and role, not “New video”. Add the expected result in one sentence so the reader can decide whether to watch.

  3. Choose a file or a hosted link

Notion supports video upload and external embeds. Use a video block or drag the MP4 into the page. The Free plan limits uploaded files to under 5 MB; check your current workspace limits. For a larger recording, consider an appropriate host or a plain link rather than assuming upload will work.

  4. Test the recipient’s route

Notion page access and video-host access are separate. Check both using the recipient’s intended permissions. If a share URL does not embed or needs a separate login, keep a clear bookmark/link or choose another delivery route. Do not make a private recording public simply to get a player.

  5. Add the written handoff

Under the video, list the role, prerequisites, three or four actions, expected result and where to ask for help. Include a recording/version date and an owner for updates. A reader should be able to perform the task without searching through the timeline.

  6. Update the delivered copy deliberately

Changing the local Qreata project does not update a file already uploaded into Notion. Export a new reviewed version, replace the delivered file or link, update the version note and check access again. Keep the old version privately if it is still needed for audit or rollback.

A small Notion procedure page you can copy

Task: reassign a support ticket. Audience: support agents with the appropriate role. Start: open the demo ticket queue. Result: the selected ticket shows the new owner and can be found in that owner’s queue.

Written steps: open the ticket, choose the new owner, save, then check the resulting queue. Put the video immediately under those steps. Add “Reviewed for app version [version], on [date]; owner [name]” and a link to the support thread for corrections. These are example fields, not a claim about a particular ticket system.

Use Qreata for capture and repair, then choose delivery

In Qreata, record the app or window, review the result and export MP4. If one action is wrong, use Replace Take, the Rerecord tool, within one segment; review the join and export the revised file. The app requires Apple Silicon and macOS 14 or later.

You can upload media to Google Drive or optional Qreata Cloud from the app, or use the MP4 directly. A hosted share page is not automatically an embeddable video endpoint. This guide does not claim that every Qreata Cloud link plays inside a Notion embed; test the exact recipient path.

When the file is too big or the player fails

Check the actual MP4 size in Finder and confirm that the file plays locally. Removing unnecessary setup footage may help; the separate compression guide describes free tools for an already exported file. Qreata does not import arbitrary MP4 files for re-encoding.

If the video plays locally but fails in Notion, inspect the workspace limit, supported file format and host permissions. Keep the original file and written steps available while investigating. Do not promise a smaller file or universal playback from the container extension alone.

Before you share

  • The intended recipient can open both the Notion page and the video.
  • The page names one task, role, version and expected result.
  • The delivered MP4 or link matches the reviewed export.
  • An owner is responsible for replacing the delivered copy after updates.

Questions about this workflow

Does Qreata have a native Notion integration?

No native integration is described here. Export MP4 or use a share link, then add it to the page yourself.

Can I upload a screen recording to Notion for free?

Yes, within the workspace’s file limit. Notion currently specifies under 5 MB per uploaded file on its Free plan; check the current limit before preparing the recording.

Will updating my Qreata project update the Notion video?

No. Replace the uploaded file or delivered link deliberately after exporting the revised version.

Can I embed any Qreata Cloud share link in Notion?

This has not been verified for every share path. Test the exact link and recipient permissions; use a clear bookmark/link or another supported delivery route if the embed fails.
